Cancellation & Appointment Policy
Our Commitment to You
At Undefeeted Podiatry, our priority is helping you achieve the best possible outcome from your treatment. Consistent attendance at your scheduled appointments plays an important role in your recovery and allows us to deliver the highest standard of care.
We understand that unexpected circumstances can arise. If you need to cancel or reschedule your appointment, we simply ask that you provide at least 24 hours' notice. This allows us to offer your appointment time to another patient who may be waiting for care and helps us continue providing timely access to appointments for our community.
Appointment Changes
If you need to cancel or reschedule your appointment, please notify us at least 24 hours before your scheduled appointment time.
Appointment changes can be made by:
- Telephone
If you call outside of business hours or when our reception team is unavailable, please leave a voicemail. The recorded time of your voicemail will be used to determine whether sufficient notice has been provided.
Consultation Fees
No Cancellation Fee
No cancellation fee will apply when:
- More than 24 hours' notice is provided.
Standard Consultation Fee
The standard consultation fee applies when:
- Your appointment proceeds as scheduled.
- You arrive up to five (5) minutes late and the consultation is able to proceed with a reduced treatment time.
- Reports or documentation are requested outside funded programs, such as Medicare Care Plan requirements.
Cancellation / Late Notice Fee
The full scheduled consultation fee will apply where:
- Less than 24 hours' notice is provided to cancel or reschedule an appointment.
- You do not attend your appointment without notifying the clinic.
- You arrive more than five (5) minutes late and your podiatrist is unable to safely complete the consultation within the remaining appointment time.
- You attend while experiencing symptoms of a contagious illness and the appointment cannot safely proceed.
- Your appointment time cannot be utilised due to circumstances within your control.
Outstanding Accounts
Outstanding consultation fees must be finalised before future appointments may be booked or attended.
Management reserves the right to suspend or discontinue services until outstanding accounts have been resolved.
Exceptional Circumstances
We appreciate that genuine emergencies do occur. Cancellation fees may be waived at the discretion of management in circumstances including, but not limited to:
- Same-day hospital admission
- Serious motor vehicle accident
- Death of an immediate family member
- Significant natural disasters or severe weather events preventing safe travel, such as bushfire, flood or earthquake
- Other exceptional circumstances considered reasonable by management
Supporting documentation may be requested where appropriate.
Appointment Reminders
As a courtesy, Undefeeted Podiatry may send appointment reminders via:
- SMS
- Telephone
- Voicemail
- Automated online check-in links
These reminders are provided to assist patients in managing their appointments.
Failure to receive, read or respond to an appointment reminder does not remove a patient's responsibility to attend their scheduled appointment or provide the required 24 hours' notice.
Where multiple reminders are issued—including SMS messages, emails, telephone calls, voicemail messages, verbal reminders or automated check-in links—these remain courtesy communications only and do not alter the patient's responsibility to manage their appointment.
